# E-Signatures with CPQ

Mobileforce CPQ provides built in basic e-signature capability that can be incorporated into the quoting workflow. Here is how you can use Mobileforce e-signature.

Note: both the seller (Licensed CPQ user) and the buyer can use Mobileforce e-signature. The workflow is always initiated by the seller. However there is a last step in the workflow that is initiated by the buyer.

### Mobileforce e-signature basics

• The MobileForce e-signature creation/capture is a tool that lets you draw, type, or upload an e signature (a digitized version of a hand-drawn signature) and then save the drawn signature into a document.

• The seller (by using their own email to send the document to the prospect) verifies their authenticity and that of the document they are sending.

• Likewise, when the buyer signs and sends back the document through their email, that verifies their authenticity and that the buyer has signed the same document that they received from the seller and has sent it back, thus completing a tacit agreement between the two.

If you need additional e-signature guarantees in Authentication, Validation, Trust, Recognition, and Security, and/or already use other e-signature tools such as Docusign, Adobe sign, and PandaDoc e-signature, then Mobileforce integrates with each of those solutions. This document is however, only about Mobileforce’ own e-signature feature.

## Sending Quote by Email (Seller to Buyer)

### Seller Steps

#### Step 1: Goto Create New Proposal under any deal as shown below.

#### Step 2: Fill in the Quote Tabs

Fill in the fields in the tabs such as buyer (customer), seller (CRM/CPQ Licensed User), quote then move to signatures.

In Signature window we have 2 sections, that is seller side and buyer side, where the quote creator (seller) can use e-signature to sign seller side and keep buyer side pending here and move to generate doc.

#### Step 3: Creating the Signature (Seller View)

The Seller can add their signature to the quote before sending it to the buyer. Here are three ways to do this: (a) Signature Upload (a scanned signature) (b) Signature Type and (c) Signature Draw.

#### Step 4: Share Quote

The next step is the share quote tab as shown below which is used to share the quote online to customer email ID for the signature.

Email from: User creating the quote (seller)

Email To: Contact email (buyer)

Body of email: The description about the quote

#### Step 5: Buyer receives e-mail

Once the share quote is done, the email to: buyer will receive the mail with quote link as shown below.

#### Step 6: Buyer Views and Signs Quote

Once the buyer clicks on go to quote link, he will be redirected to quote with limited tabs view where they only see only signature and generate doc. They do NOT see the other quoting tabs (with a hide condition).

Here the buyer can sign and generate doc as shown Below.

#### Step 7: Notify Seller

The notification to the Seller can be triggered using two possible use cases:

1. Trigger notification after the Buyer signs and manually sends it from the Customer Share Quote tab.
2. Trigger notification automatically immediately after the Buyer signs the Quote.

**Use Case 1 –Manual Notification via “Customer Share Quote”**

Once the Buyer has completed the signature process and reviewed the generated signed document, they must navigate to the “Customer Share Quote” tab.

This tab is used to notify the Sales Representative that the shared quote has been successfully signed.

Tab Details

The Customer Share Quote tab contains the following fields:

• Email From: Buyer’s email ID
• Email To: Seller (Sales Representative’s )email ID
• Email Subject: Predefined subject line indicating the quote has been signed (includes Quote Number)
• Email Body:
  - Customer message/description
  - Link to access the signed quote

**Sending the Notification**

• Verify the email details.
• Click the Send button.

Upon clicking Send, an automatic email notification is sent to the Sales Representative who prepared the quote. This email confirms that the buyer has signed the quote.

**Use Case 2 – Automatic Notification After Signature**

In this scenario, the email notification is triggered automatically immediately after the Buyer signs the Quote, without requiring navigation to the Customer Share Quote tab.

**Sales Representative Action**

The Sales Representative will receive an email containing:

• The Quote Number
• A direct link to the signed quote

Using the provided link, the Sales Representative can review the signed quote details.

This completes the process flow.

## Live Quote Links

The link that is sent to the buyer from the seller is a Live link. If the Seller needs to modify the Quote after it has been sent to the Buyer, the Seller can still update the Quote. There is no need for the seller to send a new link once changes are made to the quote. The link that was previously sent to the buyer will automatically reflect any changes that the Seller makes: in that sense it is a live link. The Buyer will be able to review the updated version using the same live link.

### Example:

If the Seller later introduces a new field (e.g., PO Number) that the Buyer must complete, the Buyer will be able to enter the required details before signing.
