Using Mobileforce with Microsoft Dynamics 365 Sales

Mobileforce CPQ seamlessly integrates with your Microsoft Dynamics 365 Sales CRM, so you can easily access the CPQ module from the Microsoft Dynamics 365 Sales User Interface as well as creating a proposal from the Microsoft Dynamics 365 Sales "Opportunities" module.

Same Credentials:
Mobileforce CPQ uses Microsoft Dynamics 365 user credentials when requesting access, removing the need for separate Mobileforce credentials.

Embedded User Interface:
The Mobileforce CPQ user interface is embedded and accessible directly from the Microsoft Dynamics 365 User Interface and has the same look and feel (font, color scheme, and user experience) as any Microsoft Dynamics 365 Sales table.

Installing Mobileforce CPQ for Microsoft Dynamics 365 Sales

Mobileforce CPQ is a cloud-hosted product which can be easily installed into your Microsoft Dynamics 365 instance. Mobileforce customers can contact their Mobileforce Support to complete the Mobileforce CPQ Installation.

Both your Microsoft Dynamics 365 Sales CRM and Mobileforce CPQ reside on their own cloud instance, with secure cloud-to-cloud information flow ensuring cross-cloud security and that no CRM information persists on the Mobileforce cloud.

Launching Mobileforce CPQ from Dynamics 365 Sales

Once you have installed the Mobileforce CPQ solution for your Microsoft Dynamics 365 CRM instance, you can access Mobileforce CPQ as follows

Quotes based on Opportunities

If you create a quote based on a Dynamics 365 Sales opportunity, the CPQ tab is displayed in the opportunity object.

Step 1: Log in to Dynamics 365 Sales.
Step 2: Pipeline --> Opportunities --> Select an Opportunity.

You may have to select the correct Opportunities view in order to find the opportunity for which you want to create a CPQ quote.

Click on the "CPQ tab" next to "Summary" and you'll see Mobileforce CPQ controls

To create a new proposal, click the blue "Add" button.

Now you'll see the customizable Mobileforce CPQ workflow which in this example, consists of four tabs: Customer, Quote, Signature, Generated Docs.

Click on "Select Customer" to automatically see the list of customers that CPQ has pulled from Dynamics 365 Sales. This way, customers can be selected and automatically populated in the CPQ without having to type this information again.

Once you select a customer, click next on the Opportunity and Mobileforce CPQ automatically filters and shows you only the opportunities for the selected customer. This filtering simplifies the selection process immensely.

In order for a Microsoft Dynamics 365 Sales user to be able to access Mobileforce CPQ, they need to have specific permissions. Mobileforce customers can contact their Mobileforce Support to set up users appropriately

Accessing CPQ Admin

To access the CPQ Admin, click on the left section which will open the CPQ Admin.

From here, click on the "Sales" and then "Setup" and then "Sales" again, to get to CPQ Admin controls

Writing the Quote back to Dynamics 365 Sales

Once the quote is complete and approved, Mobileforce CPQ enables you to save the quote back to your Dynamics 365 Sales Opportunity, using the Save to CRM button, which updates the following fields associated with the opportunity: Amount, Pipeline, and Stage

Dynamics 365 Activities are associated with specific Sales objects, hence in order to update activities, Mobileforce CPQ needs for the Dynamics 365 Sales CRM Administrator to have specific roles and licenses and configure the CRM appropriately.

Customizing Dynamics 365 Sales

Note:
If desired, Mobileforce Support can configure Mobileforce CPQ to not update Dynamics 365 Sales objects , or to update and map other objects and custom fields in your Dynamics 365 CRM. For more information about this or any other required customization, please contact Mobileforce Support.

Saving Custom Fields to Dynamics 365 CRM

When the Line Items Table has custom fields, upon performing a “Save To CRM” action, these custom fields data can also be written back to the "opportunity" object in Dynamics 365 Sales CRM. Two kinds of fields are written back to Dynamics CRM:

(a) custom CPQ quote fields are written into Dynamics 365 Opportunity properties
(b) custom CPQ line item fields are written into Dynamics Product Opportunity lines.
